Shelving Uncataloged Materials on Aleph System Numbers
Materials Management uses the Aleph system number as the shelving arrangement. All stored materials are scanned into an Inventory Management database and associated with individual barcoded shelves in the Cataloging Stacks.
To facilitate language divisions' cataloging activities, we shelve uncataloged materials in separate areas for each division. This will be based on the division that is responsible for cataloging the item, not necessarily the receiving unit.
Materials Management Trucks:
In order to accomplish this effectively, please use the Materials Management truck in each division only for items that will be cataloged by that division. Since each division at times receives materials that are cataloged by other divisions, it is very important that newly received materials are forwarded to the division responsible for cataloging the item. The cataloging unit will decide, based on their own workflow priorities, which materials they will send to their cataloging backlog.
Materials being forwarded to other divisions may be placed on the appropriate division mail shelf. If you receive a large number of items that may overwhelm the division's mail shelf, please contact the division for a more workable solution.
For items that are received in Aleph, please enclose a printout of the Arrival Slip when sending an item to the Cataloging Stacks. Always use the printing macro that generates a barcode of the Aleph System Number.
For items that do not have Arrival slips, e.g. books received on series standing orders, please enclose a printout of the bibliographic record with a printed barcode of the Aleph System Number.
- Printouts should be folded vertically so that the system number barcode is visible above the top of the book.
- No flags of any kind should be placed in front of this printout.
- Remove all other printouts and paperwork that are not explicitly needed during cataloging.
