Using RefWorks at Harvard

Sharing References Via RefShare

Your RefWorks folders can be shared with anyone--whether or not they are at Harvard or have a RefWorks account. If you want to use RefShare to share reserved readings, please consult the HCL research guide, "Linking to Harvard Library E-Resources" to ensure persistent links.

Open your RefWorks database. Select a folder you would like to share.

RefShare allows you to easily share a folder of references or your entire RefWorks database. Harvard has activated the RefShare tool to make reference sharing easy.

In the Folders menu, there is an option to Share Folders.

In the Tools menu, the option is called Share References.

Selecting either of these options takes you to the Sharing page.

The Sharing page is where you initiate a database or folder share. If there is globe in the folder icon, the folder is being shared. You can easily share a folder by clicking on the Share Folder button.

This brings you to the Shared Folder Options page where you can do several things:

1. You can easily E-mail a link to your folder and text describing what can be done with the references in the folder. You can modify text, but remember to click Save after selecting your folder and making any changes to options.

2. You can also set permissions for your folder. For instance, you decide if others can export, print or generate a bibliography from your references. You can even limit the number of references that can be exported, printed or used in a bibliography. You can share custom output styles and allow others to e-mail you directly from within RefShare. You can give your folder a title and provide some descriptive information. Click Save after making any changes.

Click on the URL so you can preview what others will see when they view your shared folder.

In a shared folder or database, you have some of RefWorks' features such as Advanced Search and Lookups, Viewing, Help and an e-mail the database owner option (see screenshots below). You can also find information about this database or folder and depending on what permissions you granted, your viewers can print, export and generate a bibliography.
