    Manuscripts and Archival Collections at Harvard

    Harvard is one of the world's largest repositories of manuscripts and archives. Manuscripts are held by more than 40 Harvard repositories which are listed in Harvard Libraries. Many of Harvard's collections are not represented in the HOLLIS Catalog, so a personal enquiry at the appropriate Harvard repository is worthwhile.

    Using the HOLLIS Catalog

    To find an individual's manuscripts or organization's archives in the HOLLIS Catalog, do Subject keyword searches limited to manuscript format, e.g. "Warren, John" or "Harvard Medical School" in Expanded Search. An Author keyword search would not retrieve Warren manuscripts (outgoing letters, etc.) in other people's papers or in organizational archives, while a Subject keyword search retrieves both collections of Warren papers and his manuscripts in other collections.

    Searching by Topic

    Limit keyword searches to manuscript format, e.g., "botanist? or botany". The Summary field typically contains a description of the collection, and the Summary field is searched in a Keyword but not in a Subject keyword search. Often the terms used in the Summary field are different and broader than the specific terms used in the Subject terms. For example, the Subject terms for the Albert Hewett Coons papers contain "Immunoglobulins Research" to characterize Coon's interests; the Summary field uses "bacteriology" and "immunology". The History Note field is not searched. Not all manuscript collection records have topical Subject terms, only personal and organizational names. Keyword searches are necessary to find these by topic.

    A keyword search limited to manuscripts sometimes retrieves many Harvard theses and dissertations (which are labeled as being both book and manuscript format). These can be eliminated by limiting the results to archival collections using the Command Search. Use searches of the form:

    paleontology and wft=mx

    Collect Subject terms from pertinent records as you do keyword searches and look for related Subject terms. Subject terms for organizations are often useful in finding personal papers. The record for the John Warren papers bears the terms "Warren, John, 1753-1815" and "Harvard Medical School Curricula". The term "medical" occurs in the Summary field. Searches on medicine, physicians, or surgeons will not retrieve the record for the John Warren papers.

  • The Harvard University Library holds innumerable regional, subject, and repository and collection guides, directories of archives and libraries, and published full text (printed, microfilmed or digitized) collections. Most of these items have the words archives, archival resources, manuscripts, or sources (sources generally refers to printed as well as manuscript/archival sources) in their Subject terms in conjunction with geographical, topical, and occupational Subject terms and institutional and personal names. HOLLIS search techniques are outlined below. Analogous searches can be done in WorldCat for items not held by Harvard.

    Regional guides

    Regional guides describe the archival resources of a particular geographical area. Most records for regional guides bear a geographical name together with some combination of the Subject terms: archives, archival resources, manuscripts, sources. You may do a Subject keyword search of the form "Connecticut and (archives or archival or manuscript? or sources)"

    Subject guides

    Subject guides describe archival resources on a particular topic. Printed subject guides can be found by determining the appropriate subject terms for your field using a keyword search and looking at the subject headings on pertinent records, or by going directly to the Red Books of Library of Congress Subject terms in the Reference Room. Do a Subject browse, " Anthropology" and look for subdivisions relating to archives and manuscripts, e.g., "Anthropology Archives," "Anthropology History Sources," "Anthropology Manuscripts," etc. Try a Subject browse by occupation, e.g.: "Photographers," "Physicists," "Authors, American".

    Repository guides

    Many repositories have published guides to their collections which list their holdings at various levels of detail. These may be found in HOLLIS by a keyword or subject search on the name of the repository. Attach the term "(archives or catalogs)" if the repository name by itself retrieves too many records: american antiquarian society and (archives or catalogs)

    Published full text (printed, microfilmed or digitized)

    It can be useful to do a Subject Browse in HOLLIS for an individual, e.g. "Jefferson, Thomas". Published letters, diaries, etc., listed under various subdivisions relating to primary sources will be displayed. Collection guides, calendars, etc., are also listed under these terms. Analogous searches can be performed in WorldCat in Harvard Libraries.

    Published Diaries

    Diaries are frequently published. Try a Subject Keywords search ("Diaries North Carolina") in HOLLIS or consult bibliographies of diaries.

    There are several Internet directories of digitized primary sources.

    Archive Finder, ArchiveGrid, WorldCat

    These three electronic sources, all in Harvard Libraries, give locations for manuscript and archival collections. They overlap, but each includes collections not in the others.

    1. Archive Finder (formerly ArchivesUSA) includes the National Union Catalog of Manuscript Collections (NUCMC) and the index to the National Inventory of Documentary Sources (NIDS). Each collection is represented by a short paragraph describing its contents and a by a list of subject terms.

    NUCMC is a national register of manuscript collections maintained by the Library of Congress. Since 1959, numerous United States repositories have sent short descriptions of their holdings to the Library of Congress for publication in a series of 29 printed volumes (1962-1993) and addition to the Research Libraries Information Network (RLIN) database (1986-date).

    The National Inventory of Documentary Sources in the United States (NIDS) is a collection of thousands of finding aids, produced by repositories around the United States and issued on a set of microfiches. These are drawn from the National Archives; the Presidential Libraries (which house many sets of personal papers of people serving in Presidential administrations); the Smithsonian Institution Archives; the Manuscript Division of the Library of Congress; state archives, libraries, and historical societies; plus academic libraries and other repositories. The descriptions in NIDS finding aids are generally much more extensive than the short NUCMC entries. Archive Finder searches the index to the finding aids, not the finding aids themselves. Bear in mind that not all repositories have chosen to submit finding aids to NIDS, and those that have may choose to send inventories of only a few of their holdings.

    Collection inventories are listed on the first fiche for each repository. For more specifics see the HOLLIS Catalog entry and Michael E. Unsworth's "Review of the National Inventory of Documentary Sources in the United States." Microform Review, vol. 15, no. 4 (1986), pp. 232-239.

    An updated version of Directory of Archives and Manuscript Repositories in the United States (2nd ed. Phoenix: Oryx Press, 1988) is included in ArchivesUSA. The entry for each repository includes short descriptions of holdings which usually give subject concentrations and sometimes list a few individual major collections. These statements are searchable in Archive Finder via a keyword search.

    Searching Archive Finder

    Choose "Collection Search" from the list on the left-hand side of the screen. On the Collection Search screen, use the Collection Name search if you only want collections consisting solely of your subject's papers. If you want to find papers of your subject housed in other people's papers (letters sent by your subject, etc.) use "All Keywords." Searching for the papers of Robert Frost, it is safest to try both "Robert Frost" and "Frost Robert." "Robert Frost" will search the description field. "Frost Robert" will search the index terms in NUCMC and NIDS. Occurrence of your search terms will be indicated by a red dot. The search "Frost and Robert" will pick up occurrences of the two words even if they are part of different names, but may be useful if you are unsure of the correct form of the name. Collection searches can be limited by repository, city, or state.

    A Repository Search retrieves brief descriptions of repositories, not of collections. Repositories can be searched by city or state. Choose "Repository Holdings Keyword" to search repository holdings statements. There is no standardized subject vocabulary in the holdings statements, so try several terms.

    2. ArchiveGrid searches two databases:

    a. A database of searchable digitized "collection guides", typically inventories, for over 4000 collections from over 185 repositories. An inventory is, generally, the list of labels on the file folders containing a collection and is often many pages long. A fully searchable inventory thus gives detailed information on the contents of a set of papers.

    b. The archives/manuscript "collection records" formerly in the the RLG Union Catalog (sometimes called RLIN) and recently (2007) transferred to WorldCat (below). These are catalog entries for about 500,000 largely U.S. collections. They are less detailed than the digitized collection guides. The RLG Union Catalog was a database of catalog records of books, archives/manuscripts, and other media contributed by over 150 research libraries. The RLG Union Catalog included NUCMC records since 1986 together with records contributed independently of NUCMC. The RLG Union Catalog records thus overlap with Archive Finder in the NUCMC records but not in the independently contributed records. These records can also be searched in WorldCat in Harvard Libraries. Since WorldCat includes records for books and other media as well as for archives and manuscripts, you will want to limit your search to manuscript format. To limit to archives and manuscripts, check <Archival Materials> toward the bottom of the Advanced Search screen.

    3. WorldCat accesses the OCLC (Online Computer Library Center) database, consists of catalog records contributed by about 45,000 libraries worldwide but mainly U.S. To limit to archives and manuscripts, check <Archival Materials> toward the bottom of the Advanced Search screen.

    NUCMC Homepage offers free access to the WorldCat (OCLC) (including the RLG 1986-2007 NUCMC records) archives and manuscript (AMC) records.

    Subject Searching

    A subject search in WorldCat on your person's name will find both collections of your subject's own papers (which may well exist in several repositories) and letters written by your subject and occurring in their recipients' papers. You can also search for classes of persons by using subject terms: physics, physicists, women authors. ArchiveGrid and WorldCat use Library of Congress subject headings. NUCMC and NIDS have their own subject heading systems which are accessible from links labeled Index Terms after the collection description. Note the subject headings assigned to your topic and, if needed, repeat your search using the proper subject headings for each database. NUCMC subject headings may be browsed in:

    Limitations of Archive Finder, ArchiveGrid, and WorldCat

    a. The records in these three databases are brief and so cannot list everything in the collections. Named correspondents and other associates include only well-known people or persons represented by large amounts of material.

    b. The analysis necessary to allow preparation of an Archive Finder, ArchiveGrid, or WorldCat record is time-consuming, and many unanalysed and unreported collections await attention in the storage rooms of most repositories.

    c. Numerous repositories do not report their collections. Many of these are small local repositories but may have significant collections.

    There is no sure way around these limitations. Subject guides, compiled by experts in special areas, often list unreported collections. Otherwise you will need to identify possible repositories, often from clues in biographical sources, and enquire directly.

    Web-Accessible Finding Aids

    Many archives/manuscript repositories have been putting finding aids and sometimes full-text of collections on the Web without reporting them to WorldCat, RLG, or NUCMC (Archive Finder). Therefore, do searches in the Web search engines. It has been shown by Feeney (1999) that subject retrieval of such web pages using the search engines is very uncertain.

    W.P.A Historical Records Survey State Manuscript Repository Guides

    Some old guides that have fallen into obscurity may still be of use. Many repositories do not report their holdings, or report only a selection, to WorldCat, RLG, NUCMC, or the Web, and have published no recent guide. Many small repositories have very limited budgets, operate on volunteer labor, and are unable to report their holdings. Sometimes printed guides, often old ones, are the only source. The WPA Historical Records Survey guides of the late 1930s reported major holdings for many repositories. Indexes to these guides include both personal name and topical entries, e.g., physicians. Many local people represented in these collections corresponded with prominent persons elsewhere, and these prominent correspondents appear in the indexes. Items related to non-local individuals often occur in local autograph collections, which also are indexed. Many of the smaller repositories included have not been surveyed and reported since.

Many repositories have published repository guides, which list their holdings at various levels of detail, and/or collection guides describing individual collections. These may be found in the HOLLIS Catalog. Repository and collection guides are listed in bibliographies of subject guides.

Most libraries have online catalogs some of which include manuscript holdings, although representation of manuscripts in online catalogs is usually incomplete. Many repositories list their manuscript holdings on their web sites, and some provide online access to inventories and other finding aids. There are several Internet directories of special collections and repositories of primary sources.

Published Manuscripts (Full Text)

The full text of sets of personal papers is usually distributed by one of three methods:

  • Printed books
  • Digitization (available on the Internet or a CD-ROM)
  • Microform

A guide to finding published manuscripts in the HOLLIS Catalog is available.

Documentary editions of the papers of major historical figures, e.g., The Papers of Woodrow Wilson, contain the subject's outgoing letters which are found in the papers of his correspondents. As locations for these letters are cited, documentary editions serve to locate the papers of the subject's associates.

Published Diaries

Diaries are frequently published. Try a Subject Keyword Search ("Diaries North Carolina") to find published diaries and bibliographies of diaries.

The repository holding a diary may hold other papers of the same person. See list of bibliographies of diaries. The bibliographies of manuscript diaries give locations; for the books listing published diaries, the printed diaries themselves must be consulted, although the location is not always given.

Digitized Collections

Many repositories are digitizing whole collections. Many of these are available free on the Web or in Harvard Libraries. Typically only important collections of wide interest are digitized.

 Microform

Important manuscripts and collections of papers are sometimes microfilmed in their entirety. Typically a printed guide accompanies the microfilm.

Current Awareness

Some disciplines have history newsletters which carry articles on primary sources. These newsletters are often not indexed in the periodical indexes. Some newsletters may be found in the HOLLIS Catalog Journals database with Subject Keyword searches of the form "anthropology history". No Luck?

Many small repositories do not report or publish accounts of their collections yet may have important research material. Repositories that do publicize their collections have often massive backlogs of uncataloged material. To discover these collections it is necessary to identify likely repositories based on biographical information about subject and institutional affiliations, place of residence and of death, etc. Addresses of likely repositories can be found in the Directory of Archives and Manuscript Repositories in the United States, an expanded version of which is included in ArchivesUSA, and through lists of repositories on the Web.

Once you have exhausted the available sources, you can publish a request for information on appropriate LISTSERVs:
